JOB DESCRIPTION
Designation: Assistant / Deputy Manager Local / Global Search : Local

Location : Noida HO Reporting to :

Grade : Years of Experience : 6-10 yrs Age group : 28-35 yrs

Key Responsibilities of the Role:

I- "Head Office Procurement related-
1. Receipt of procurement application from all departments, checking the price comparision based on all attached documents
2. Final negotiation with the selected vendors, look for the possibility for getting other better independent quotes
3. Correction/finalisation of procurement approval form and obtain the approval as per Company's difinded authority matrix
4. Preparation of purchase orders and obtain the signature as per procurement SOP
5. Maintaining the procurement record for future reference and tracking
6. Confirmation to user department once the Purchase Orders are signed"
II- "Work related to obtaining approvals as per Company's defined authority matrix:
7. Receipt of all approval request forms as a central agency
8. Check the forms to ensure the accuracy of the contents, selection of correct approval numbers, etc.
9. Revise/correct the forms after join discussion with the concerned user
10. Obtain the consents from heads of corporate planning, finance & accounts and any other deartment as per authority matrix
11. Once consent is obtained, take the confirmation from approval authority as per authroity matrix
12. Maintain the excel record for all approval applications received for necessary follow up and tracking
13. Register the approvals on online approval system for getting final approval"
III- "Work related to checking of payments advice received from finance department
14. Ensure all accompanied documents (bills, etc.) are received along with the payment advice
15. Check whether the payee details match with the related invoice/purchase order
16. Check whether no duplicacy in payments"
IV- "Other Roles
Approval for applications on disposal of scrap materials
17. Receipt of application with all necessary documents/data as per scrap SOP in head office
18. Check the data to verify scrap quantiy and value
19. Check enclosed quotations from scrap vendors and enquire with concerned user if anything is missing/ not correct
20. Revise the application if necessary and obtain necessary approval as per SOP related to disposal of scrap
21. Maintain excel data for all applications received and processed for future tracking
22. Maintain the database for annual contracts, AMCs, etc for generating weekly/monthly reminders with the help of IT department."
