Position Summary The Receptionist serves as the first point of contact for visitors, employees, vendors, and business partners. This role is responsible for managing front desk operations, handling communications, providing administrative support, and ensuring a professional and welcoming office environment. Key Responsibilities Front Desk Management • Greet and assist visitors, guests, and vendors in a professional and courteous manner. • Manage the reception area and maintain a welcoming office environment. • Maintain visitor records and issue visitor passes as per company policies and procedures. Call & Communication Management • Answer, screen, and route incoming telephone calls. • Handle general inquiries and direct them to the appropriate departments. • Receive, sort, and distribute incoming mail, couriers, and deliveries. Administrative Support • Schedule meeting rooms and coordinate meeting arrangements. • Support travel bookings, hotel reservations, transportation arrangements, and logistics coordination as required. • Monitor office supplies inventory and coordinate replenishment. • Assist with data entry, filing, documentation, and record management activities. Coordination & Support • Coordinate with vendors, housekeeping, security, and facility management teams. • Support employee onboarding activities and office administration processes. • Assist in organizing company events, meetings, training programs, and employee engagement initiatives. Skills & Competencies • Excellent verbal and written communication skills. • Professional appearance and strong customer-service orientation. • Good knowledge of Microsoft Office (Excel, Word, PowerPoint, Outlook). • Strong organizational and multitasking abilities. • Ability to maintain confidentiality and professionalism. • Positive attitude and problem-solving mindset. • Ability to work effectively in a fast-paced and multicultural environment. Preferred Qualifications • Graduate in any discipline. • 1-3 years of experience in reception, front desk, administration, or customer-facing roles. • Experience in retail, hospitality, or multinational corporate environments will be an added advantage.
